Job Description
Responsibilities and Accountabilities
Project Execution Support
- Support the Quality Services Manager's project steering and governance by coordinating work instructions, balancing (system and physical, e.g. DQM vs QCAT reconciliation) and day-to-day scope/schedule tracking across the project portfolio, flagging deviations and risks upward rather than resolving them independently
- Coordinate resourcing and priority calls across the team, and support the site's zero-slip/zero-line-stopper targets, sub-supplier project documentation, and PFD process adherence
Auditing & Continuous Improvement
- Conduct regular project auditing (performance, compliance, financial and process) across the Project, tracking audit-finding closure and reporting status to the Quality Services Manager rather than owning sign-off independently
- Identify opportunities and drive continuous improvement and lessons-learned capture across projects
- Maintain live project tracking/status reporting for the Quality Services Manager's use
Financial & Invoicing Monitoring
- Monitor project invoicing accuracy (system vs manual figures vs physical counts) and time-study-derived hourly targets, escalating discrepancies for resolution; report project cost and margin data to the Quality Services Manager, who retains overall accountability for project profitability and operating margins
Team Coordination
- Coordinate the Team Leads training/skills-matrix maintenance, workload/loading charts, and day-to-day attendance and performance, escalating disciplinary matters and cross-project resourcing decisions to the Quality Services Manager for sign-off
Customer Support & Reporting
- Support project-level customer communication and complaint follow-up (5 Whys, one-pager, 8D root cause), escalating account-level or contractual matters to the Quality Services Manager, who owns the overall client relationship; remain available for escalations from the Team Leads during working hours, following the company's escalation channels
- Be the first contact to QSBs/QMTs on project related matters
Key KPIs / Dashboard
- Supply the Quality Services Manager with Project Profitability (Revenue, Labour Cost, Gross Profit, Margin %) and Project Health (Open Projects, New Projects Introduced, Additional Revenue Opportunities, Capacity Expansion) data for their sign-off — this role reports on these metrics rather than owning them independently
